Request For Expression of Interest: HMIS Graphic Design Consultant

Introduction: AIDS Healthcare Foundation (AHF) is a Los Angeles-based nonprofit organization founded in 1987 providing cutting-edge medicine and advocacy to over 1,500,000 people in 45 countries.

We are currently the largest provider of HIV/AIDS medical care in the world. AHF has care and prevention programs which work in collaboration with the Ministry of Health in HIV testing and condom distribution.

AHF’s overarching goal is to be assured, through data and evidence, that every AHF patient is receiving an excellent standard of care.

To support this goal, AHF’s Global Health Management Information Systems (HMIS) department is seeking the services of an infographics consultant.

Purpose of the engagement: As part of creation of data visibility, AHF’s HMIS department wishes to contract consultancy services for the Graphic Art and Infographics specialist to work closely with Global Data Manager for Visualization.

Unlike data written on paper or displayed online on a shared document, infographics are visually appealing.

Many people are busy hence have short attention spans, which makes infographics the perfect way to quickly display data in an aesthetically pleasing way that catches one’s attention, even if it is just for a few seconds. Infographics are more likely to get shared than other forms of data.

AHF generates a lot of data that needs to be formatted/packaged in the right way for a variety of audiences. Feedback reporting is key in ensuring sites/countries are updated about progress and gaps that need to be acted upon to ensure our clients receive the best standard of care.

The overall objective of the assignment is to create visually stunning infographics for various Global Quality meetings.

The specialist will also help in supporting Global HMIS team in other design-related work such coming up with data user guides, digests, bulletins etc.

Scope of work:

  • Design and format materials for print, digital, presentation, and other publications in liaison with
    relevant publication representatives.
  • Timely development of conventional marketing communications materials, i.e., brochures, fact sheets, direct mail, banners, stationery, business cards, promotional items, etc., including coordination with outside copywriters, graphic designers, printers, promotional item vendors,
    lettershops, etc.
  • Review and edit as necessary all documents required for infographic print or upload such as
    HMIS user guides, bulletins, fliers, data posters.
  • Conceptualize and execute creative infographics and layout artwork for materials outlined in
    the ToRs;
  • Produce infographic print-ready materials of high quality for presentation in various AHF’s
    Global Quality meetings;
  • Develop appropriate Global HMIS creative style, concept and design of documents and data-related communication materials; and
  • Fully responsible for an assignment from start to completion and meeting deadlines without
    sub-contracting.
  • Produce video training guides as maybe required.
  • Work with internal teams to develop ideas for pitching and proposals
  • Ensure quality control over concepts and projects
  • Staying abreast of developments in graphic production, design softwares, production
    resources, and recommendation of strategies and resources that would aid in providing higher
    quality marketing materials.
  • Timely development of all creative materials for events, event concepts, and/or event
    promotions
  • Name and archive all created, amended, or updated files on the recommended cloud
    environment(s) and external storages as per the AHF’s files naming convention.
  • Expected to be a team player who is agile and willing to take up new challenges and specific
    projects and assignments as deemed appropriate/necessary and in close liaison with the marketing team and in support of the overall AHF vision and initiatives.
  • Support Bureau design needs, where and when needed.
  • Perform all other duties as assigned as required.
  • The estimated working days will vary depending on the workload and urgency

Deliverables:

The consultant will be required to provide the following:

1. Designed Infographics as per Global HMIS projects in pdfs, ppts and other formats:

a) Translate data into digestible visual infographics

b) Use innovative and cutting-edge tools and formats

2. Formatted user guides (audiovisual), fliers, digests, bulletins and reports in more presentable
formats

Academic qualifications:

  • At least a Higher diploma or a Bachelor’s Degree in Graphic Design, Fine Arts, Data Visualization
    or a related field.

Experience:

  • Excellent design skills, including typography, layout, color theory, etc. (as demonstrated by samples submitted with application).
  • Experience in skillfully using presentation software such as Adobe InDesign, Illustrator, PowerPoint, or Keynote is required.
  • Experience in working with infographics in HIV/AIDS settings is an added advantage.
  • Experience in executive presentations, PowerPoint slide creation, graphic design or infographic is an added advantage.
  • Knowledge of infographics programs such as Infogram, Canva, etc an asset.
  • Proficient in design/layout softwares such as InDesign, PhotoShop, Illustrator, and other Adobe
    Creative Cloud softwares.
  • Ability to multitask, manage multiple projects from concept through to completion

Language:

  • Fluency in written and spoken English is required;

Evaluation of Applicants:

Individual consultants will be evaluated based on a combination of the applicant’s technical (70%) and financial proposal (30%).

Submission of proposals:

A combined technical and financial proposal should at a minimum include:

1. A cover letter explaining why you are the most suitable candidate for this consultancy.

2. At least 3-5 samples of similar knowledge products that highlight the applicant’s knowledge
and mastery of graphic design (e.g., infographics, guidance notes, issue briefs, newsletters,
PowerPoint presentations, etc).

3. A proposed work plan. 4. A specification of consultant’s daily rate and/ or total amount
