Job Title: Import / Export Coordinator

LOCATION: Nairobi

Our client, in the retail Industry is looking to fill the position of an Import / Export Coordinator

JOB PURPOSE

The Import / Export Coordinator is responsible for daily operational tasks related to import / export shipments process.

DUTIES AND RESPONSIBILITIES

Import / Export Operation

  • Maintain database of stickers through PM module (DDS software) and communicate it to LSP in charge of labelling.
  • Control the proper translation for all products and request all missing information from suppliers.
  • Control the product management tools to be implemented accurately and follow-up with the 3rd party if all necessary information has been uploaded.
  • Communicate with suppliers regarding any changes in their product packaging as well product ingredients and barcodes.
  • Provide KPIs for all inspection reports.
  • Communicate with suppliers on the requirements in term of documentation and import / export process.
  • Check all shipment documents, ensuring they are complete according to the customs as well as local municipality requirements.
  • Database update and control, for UAE and other countries (Price-PCB-Activate/delist based on supplier instructions and after merchandise approval).
  • Secure database countries to match with hub database.
  • Claim follow up with countries and suppliers.
  • Schedule ordering for regular and seasonal orders, with merchandise, 3pl and suppliers.
  • Order submission and consolidation when needed.
  • Secure MOQ per order /supplier.
  • Control and compare orders volume and value, with the forecast on hand, and share it with commercial team to take action.
  • Control SL per order per country and secure the reason for what is not delivered and take action accordingly.

Administrative

  • Retrieve corporate documents, records, reports and maintain records management database system.
  • Perform general office duties, such as ordering supplies and performing basic bookkeeping work.
  • Distribute incoming correspondence, including faxes and email.
  • Answer and direct calls or take messages.

  • Timeliness and accuracy of developed reports

EDUCATION QUALIFICATION AND SKILLS

  • Bachelor’s degree in Logistics or relevant/related course
  • Organized
  • Detail oriented
  • Time management

Minimum Required Experience:

  • 0-2 years in a similar role
