Position Title: Logistics Coordinator

Reference: Logistics Coordinator
Job Function: Support the Logistics Imports / exports functions effectively and efficiently in compliance with client and customer requirements.
Regulatory Compliance
Compliance with local authorities’ requirements for imports/exports including but not limited to:
- Obtaining imports /exports permits and IDFs
- Co-ordinator PSI as per client requirement
- Prepare certificates of origin
- Prepare East Africa \COMESA certificate of origin
- Retrieve certificates of analysis by product by batch
- Obtain customs entry
Quality Assurance
- Implement exports / imports SOPs
- Maintain exports/ imports records
- Maintain allocated documents as per approved Import / Export SOP
Reporting
- Report to Imperial Senior Management, Clients, and PPB on problems such as Product quality complaints or non-conforming products, stolen goods / hijacks, and counterfeit stock.
- Reply on Audit reports from IHS QA/Clients/PPB
- Communicate with Clients on various matters that pertain to their business assist with query investigation
Operations Management
- Receive and record exports / imports customer orders
- Raise pro-forma invoices for customer orders
- Communicate with customers to obtain shipment approval as soon as possible
- Prepare export / imports documentation as per customer requirements
- Prepare export documentation to comply with terms of applicable letters of credit
- Capture orders in SAP and ensure pack and shelf-life requirements per market
- Engage with inspection authorities to ensure timely inspection
- Book approved consignments for transit
- Send pre/post alerts
- Track shipments to destination
- Maintain outbound shipments PODs and COEs
- Update client as necessary
- Review client import and export trackers and present the same to clients and customers
- Attend business review meetings for clients and customers
- Collate and share departmental periodic reports
- Represent the Logistics Manager in meetings as and when required
Qualifications Required
- Certificate in Customs Administration preferred.
- East Africa Customs Freight Forwarding Practicing Certificate (EACFFPC) an added advantage.
- Bachelor’s degree or diploma in logistics or supply chain.
Skills and Experience Required
- Freight forwarding training and experience.
- Knowledge of SAP.
- Analytical skills, attention to detail.
- Strong administrative and computer skills.
- Great organizational and time management skills.
- Ability to interact at a high level with clients, senior management and authorities
- Decision–making, problem-solving, creativity
- Acquired good verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Ability to understand business process and be able to interpret business needs.
Other Requirements
- Previous experience dealing with KRA, KEBS and PPB
- Ability to work under pressure
- Positive, confident, self-motivated, and able to work as a member of a team
