Job Title: ASSISTANT OFFICE ADMINISTRATOR II - REGIONAL OFFICES

Job Description

This is the entry and training grade for this cadre. An officer at this level will work in in a General Office to perform office administrative duties in any of the regions.

Terms and Conditions of Service

  1. Basic Salary                                      Kshs. 44,114- 66,376 PM
  2. House Allowance                                as per the region deployed
  3. Commuter Allowance                          Kshs. 4,000 PM
  4. Leave Allowance                                Kshs. 10,000 PA
  5. Annual Leave                                    30 working days PM
  6. Medical Cover and other allowances    As provided by the ODPC
  7. Terms of Service                               Permanent and pensionable
 
Job Specification

Requirements for Appointment

      For appointment to this grade, a candidate must have:

  1. Minimum of Kenya Certificate of Secondary Education (KCSE) C (plain) or its equivalent from a recognized and accredited institution;
  2. Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) or its equivalent from a recognized and accredited institution; and
  3. Proficiency in computer applications.

 Duties and Responsibilities

 Specific duties and responsibilities will involve:

  1. Coordinate meeting and appointment schedules;
  2. Record dictation in shorthand and transcribing it in typewritten form;
  3. Use e-office to research and process data;
  4. Operate office equipment,
  5. Attend to visitors/clients;
  6. Handle telephone calls;
  7. Handle customer inquiries and complaints;
  8. Coordinate meeting and appointment schedules;
  9. Coordinate travel arrangements;
  10. Ensure security of office records, equipment and documents, including classified materials;
  11. Establish and monitor procedures for record keeping of correspondence and file movements;
  12. Maintain an up to date filing system in the office;
  13. Prepare responses to routine correspondence;
  14. Manage office protocol and etiquette; and
  15. Perform any other duties as may be assigned by the Supervisor.
