Posisiton Title: ICT Officer
Background
Global Programs for Research & Training (Global Programs) is an international non-governmental organization in Kenya. Registered in 2014, Global Programs is a wholly owned and controlled affiliate of the University of California, San Francisco (UCSF).
Global Programs facilitates the expanded presence and operations for researchers from UCSF and its affiliates, working in collaboration with key partners including the Ministry of Health, Kenya Medical Research Institute (KEMRI), donors and other local and international partners to implement health programs across Kenya.
Global Programs seeks to recruit an ICT Officer to assist in the management of Global Programs ICT systems including but not limited to network systems, hardware and software tools, local and online communication and collaboration tools, promoting better and efficient use of ICT tools through effective user support and training, and implementing ICT policies and procedures.
Under the direction of the Regional ICT Manager, the ICT Officer will:
Key Roles and Responsibilities
- Prepare, install and configure user devices: laptops, phones, printers, scanners etc
- Prepare field data collection devices as requested by field teams
- Monitor and manage mobile devices through Mobile Device Management (MDM)
- Maintain an up-to-date inventory of ICT hardware and software
- Provide effective and timely day-to-day ICT support to staff
- Perform routine maintenance of hardware, software and systems and where needed work with service providers for service and repairs
- Maintain an up-to-date schedule of ICT related service level agreements liaising with Operations
- Working with the Operations team, ensure that Global Programs website is current
- Deliver training to users on different systems and technologies
- Monitor and troubleshoot internet connectivity and ensure timely resolution in case of downtime.
- Manage and maintain office network to ensure its running consistently and efficiently and resolve issues promptly when they arise
- Manage communication, collaboration and conferencing systems
- Provide user account management
- Provide technical input on ICT requisitions, purchases and maintenance
- Perform daily system monitoring, verifying the integrity and availability of all hardware and software resources and review system application logs
- Any other duties as may be assigned
Security and Compliance
- Work with the Regional ICT Manager to ensure that IT systems are in compliance with UCSF minimum IT security requirements, and that data systems and processes are in compliance with the Data Protection Act
- Ensure all user systems and devices are
- Up to date with current software and security patches
- Configured with the minimum-security requirements including encryption, endpoint protection and data loss prevention
- Manage and maintain access control system
Disaster Prevention and Recovery
- Promote user adoption of cloud storage through employee training and engagement sessions
- Ensure user data is backed up as per the established policies and user devices configured for cloud backup.
- Work with ICT teams to implement backup policies
Experience and Skills
- Demonstratable knowledge in working with LAN and WAN technologies
- Demonstratable knowledge in Windows, Linux and Mac OS desktop system
- Demonstrable knowledge in managing database systems
- Demonstratable knowledge in supporting cloud systems
- Experience in Microsoft 365 administration
- Experience in Active Directory administration
- Good understanding of IT security
- Good problem-solving, analytical and evaluative skills
- Excellent verbal and written communication skills
- Good organizational and time management skills
- Ability to work independently and manage various tasks under tight deadlines
- Demonstrable ability to work with diverse teams to deliver effective support and solutions
- Progressive IT experience, including experience in a multi-office environment
- Willingness to learn emerging technologies and learn from mistakes
Education and Certification
- Bachelor’s degree in computer science, information technology or computer engineering with at three years hands-on experience
- Relevant industry certifications
