Position Title: Finance Officer (School)

Location: Kahawa Sukari, Nairobi

Reports to: School General Manager

A private Catholic based primary school is recruiting a professional and entrepreneurial Finance Officer to join their School.

Job Summary: Responsible for the operations of the School, managing all non-teaching functions, services, and staff.

Establish operational excellence and fiscal prudence by creating, refining, and implementing policies and systems while upholding the values of the School. Mandated to create a culture of service and support.

Key Duties and Responsibilities

General

  • Establish great operational standards to help the School achieve excellence in all areas.
  • Comply with policy and procedures regarding Confidentiality, Child Protection, Sexual Harassment and make sure that all Staff are well informed on these.
  • Respect the confidentiality of all matters relating to the School, staff, pupils and families.
  • Attend appropriate training courses.
  • Attend staff meetings and other meetings as directed by the School Management.
  • Engage in monthly supervision and annual performance management/appraisal.
  • Participate in Senior Leadership Team meetings and activities and in all other activities where requested.

Operational

  • Develop and implement school-wide systems and procedures that ensure operational excellence within the school.
  • Monitor, evaluate and improve the operations of the departments – Kitchen, Transport, Cleaning, IT, Secretariats, Accounts – always ensuring high quality service with careful financial checks.
  • Make recommendations to the School Management on maintenance of buildings, all assets (including but not limited to property, plant, equipment, furniture, vehicles) and follow up on construction, maintenance works.
  • Monitor the storage and correct use of the goods and supplies of the School (kitchen, stationary, digital assets, cleaning materials, sports materials, equipment, textbooks and library material), make recommendations and act where needed.
  • Manage the inventory of the School, checking on the depreciation of the assets and making recommendations about the disposal/acquisition of assets.
  • Support the School in the development, management, and maintenance of the procurement lifecycle, including but not limited to vendor selection, account creation, purchase order management, materials requisitioning and receiving, inventory management.
  • Oversee the work of the Accounts department.
  • Maximize income generation within the ethos of the School. Manage all income-generating schemes, including bursaries, farm project, transport etc. Advise the GM on investment and financial policy, preparing appraisals for particular projects as requested and appropriate.
  • Ensure timely, effective and efficient collection of School Fees.
  • Liaise and negotiate with providers of goods and providers of services and third-party contractors in consultation with the Director and School Adminisitrative Team. Conduct regular reviews of arrangements with contractors to endure best value for money and high standards of service from contractors.
  • Support the General Manager in the development and management of the annual budget.
  • Produce budget statements and any other reports upon request by the Management.
  • Supervise all non-teaching Staff.
  • Support the General Manager in HR-related issues, including but not limited to maintenance of employee files, HR paperwork and data systems.
  • Create a culture of service and support developing team members to excel in their roles and ensuring the school maintains operational excellence.
  • Collaborate with the Senior Leadership Team to implement the school’s vision and mission; assist in creating a school culture with staff, parents and students focused on integral development of each person.
  • Ensure that staff members understand the procedures and have resources to operate effectively.
  • Implement the Performance Management System among the non-teaching staff.
  • Implement school safety plan: disaster preparation, fire drills, student, staff and public safety, and student health.
  • Responsible for school public relations and communications plan: promote and market the school through positive relations with community, businesses, parents and students.
  • Plan, organize, coordinate, and control large group events, classified meetings, and community and family engagement events.
  • Oversee the production and updating of School financial procedures in accordance with financial regulations and audit requirements.
  • Monitor the School bank accounts.

Leadership and Administrative Duties

  • Work with the School management in establishing priorities for expenditure and monitoring the effectiveness of spending and use of resources with a view to achieve value for money.
  • Assist with whole school events (including, but not limited to, Thanksgiving Day, Talent’s day, etc.).
  • Work closely with the School’s General Manager to ensure the development of a high-standard School.
  • Manage the School’s bus fleet (assets, personnel, fueling, maintenance, cost-effectiveness).
  • Make recommendations to the School management for improvement of facilities.
  • Ensure that Occupational Health and Safety Policy and Procedures are adhered to.
  • Maintain up to date files electronically and/or in print of all administrative systems, such as: student records, staff records and archives.

Key Skills and Competencies

  • Love for children, especially Special Needs ones
  • Previous and proven experience in a similar role for at least 5 yrs
  • Knowledge of school administrative processes, fleet management, group leadership and national educational regulations
  • Knowledge and passion for extra-curricular activities and education at large
  • Hands-on and proven experience with MS Office, accounting Systems and education management systems
  • Great presentation and communication skills

  • Bachelor’s degree in business management, finance and administration or related field; Masters,
